Everything the platform
expects you to know.
Sign in, run projects and jobs, move files through QC and out to the client, log your hours and keep the audit trail clean. Every module below lists its purpose, its workflow and the exact button labels you will see on screen.
Source files, Work Upload, Project Complete. Nothing permanent lives anywhere else.
OneDrive, per employee. Work happens here; Mark Complete pulls it back.
Approve, or return for rework. Only approved revisions go further.
Published deliverable, share link, submission recorded, job closed.
20 chapters, in menu order
The numbering matches the sidebar inside the application — chapter 6 is the Job Management menu, chapter 15 is Access Control, and so on.
Getting Started
Who you are on the platform decides what you see. Sign in, secure your account, and learn how the sidebar hides what your role cannot use.
groups1.1 Roles on the platform
| Role | In short | Typical workflow |
|---|---|---|
| Super Admin | Full control | Users, roles, security, integrations, queue health |
| Manager | Owns projects & jobs | Create projects and jobs, assign work, approve QC, submit to Box |
| Team Lead | Runs a team | Track team jobs and timesheets, approve hours |
| QA/QC | Quality control | Review deliverables, approve or return for rework |
| HR | People & promotions | Manage employees, verify promotions, contributor hours |
| Support Team | Helpdesk | Triage tickets, reply, resolve |
| Employee | Does the work | Start jobs, upload deliverables, log timesheets, request promotion |
| Client | External viewer | Limited read-only views |
login1.2 Logging in
Forgot password? · Contact Administrator
What can go wrong — and what to do
5 failed attempts lock the account for 15 minutes. Wait it out, then try again.
Enter the 6-digit Authentication Code from your app, or a recovery code, then Verify & Sign In. Lost both? Contact your administrator.
Password rotation forces the Update Password screen before anything else loads.
You stay on the verification screen — use Resend Verification Email.
menu_open1.3 Navigation
The sidebar groups the platform into sections; each expands to its sub-pages. Collapse it and hovering a section gives you a fly-out menu. Only items your role can see appear — and a section hides entirely when you hold none of its permissions.
account_circle1.4 Your profile & account security
Open Profile from the top-right menu. Four panels:
Photo (JPG/PNG/GIF/WebP, max 2 MB), name and email — then Save. Changing your email un-verifies it; re-verify through the link shown.
Current, new and confirm, then Save. Policy is set by the admin — defaults: 12+ characters, upper and lowercase, a number and one of @$!%*#?&. You cannot reuse your last 5 passwords.
Enable → scan the QR with Google Authenticator or Authy → enter the Verification Code → Confirm & Enable. You get 10 recovery codes (XXXXX-XXXXX, one use each). 2FA only bites at login once the admin turns MFA on (18.3).
Danger zone. Requires your password plus confirmation; deletes your user and signs you out.
Dashboard, by role
Everyone lands on /dashboard. The widgets differ: Employees get the employee dashboard, Managers the manager one, Team Leads the team view; Super Admin, QA/QC, Support, HR and Client share a generic dashboard with role-scoped widgets.
engineering2.1 Employee dashboard

workspaces2.4 Super Admin · QA/QC · Support · HR · Client
User, project, job and ticket counters, Contact Requests, System Info cards (Active Users, Database, Server Status, System Backup, Audit Logs) and the Queue Health widget.
Job cards scoped to your QC queue — Under QC (Awaiting), In Rework (Returned), In Progress (Active), Completed (Approved) — plus a Job Overview.
Total Users, Total Projects, Total Jobs, and Contributor Hours.
Support Team sees open Support Tickets; Client sees KPI widgets only.
monitor_heart2.5 Queue Health Super Admin only
Three cards fed by Laravel Horizon:
Healthy / Degraded / Critical, with 24-hour throughput.
Count in the last 24 h and the top failing job.
Worst wait across queues — warning over 30 s, error over 120 s.
Employee Management
Menu: Employee Management → Add New Employee · Employee List. Creating an employee also creates their login — the two records stay in step for the rest of their career.
person_add3.1 Add New Employee
Employee ID*, Full Name*, Date of Birth*, Mobile Number*, Personal Email*, Office Email*, Address*.
Joining Date* (today by default), Department*, Designation*, Role*, Reporting Manager, Reporting Team Leader, Employment Type* (Permanent), Work Location* (Office/Home), Status*.
list_alt3.2 Employee List
Employee Code, Name, Type (role), Department, Designation, Mobile, Personal Email, Office Email, Status badge, Actions.
Search box, Department, Status; 10 rows per page. Toolbar: Import CSV, Promotion Requests.

database3.4 Employee Masters
Menu: Employee Masters → Departments, Designations, Employment Types. Simple CRUD lookup tables that feed the dropdowns in the employee form.
Client Management
Menu: Client Management → Add New Client · Client List · Contact Persons. The client code you create here becomes the top folder of every NAS path.
domain_add4.1 Add New Client
Company Name*, Client Code* (auto-generated, disabled), Department*, GST Number*, PAN Number*, Address*.
Name*, Designation*, Mobile*, Email*.
Account Holder*, Account Number*, IFSC*, SWIFT (optional), Bank Name*, Branch Name*.
Assign Manager and Assign Team Leader — both optional. Press Save Client. Status is Active or Inactive.
list4.2 Client List
Columns: Company (name, code, GST/PAN), Department, Address, Account Holder, Bank, Account (masked ****last4), Status, Actions — each row also counts its projects. Filters: search and status, with an Import CSV button. Row actions: Edit (the code is re-generated) and Delete (confirmed, permission-gated).
contacts4.3 Contact Persons
A standalone list of each client's contacts: Name, Designation, Country Code, Mobile, Email, Status. Create and edit through the shared modal — the Client field is required on create. Search by name, email or company.
Project Management
Menu: Project Management → Add New Project, Project List, Resource Allocation, Teams — plus Add New Checklist and Checklists under Administration.
add_task5.1 Create a project — 2-step wizard
Client Code*, Project Name*, Project Type*, Project No.* (unique), Department*, Create Date*, Project Deadline Date*, Estimated Project Hours, Project Description*, Full Address, Google Map Link (with map picker), Priority*.
Repeatable rows of Assign Date* and Description*. Use Add More Update.
Repeatable rows: Assign Date*, Job Type*, Assign To* (multi-employee picker), Checklist* (template), Priority*, Assign Hours. Use Add More Job.
A read-only summary plus the computed NAS Storage Path — {doc_root}/{projectNo-segment}/{projectName-segment}. Press Create Project Folder, then use the Folder Contents browser: Go up, Create Folder, Upload, Delete, Refresh, drag-and-drop moves and multi-select delete.
Finish with Create Project — status is forced to Active. Every assigned job snapshots its Checklist into a per-job checklist instance.
folder_copy5.2 Project List
Search by project code, assigned employee, priority, client, and status: Active / At Risk / On Hold / Completed.
New Count & Hrs · Reopened · Working (Urgent) · Hold by Us (High) · Client Hold (Medium) · Complete.
View opens the details modal (type, client, department, status, priority, reopened count, dates, estimated vs worked hours, description, map and OneDrive links, created-by). The dropdown holds Edit (disabled) and Delete.
groups_25.3 Resource Allocation
Toggle Day / Week / Month and pick a date range. Stat cards: Total Capacity, Over-Allocated, Available Bench. Below them, a Weekly Capacity Heatmap (Department × Mon–Fri) and the Team Member Workloads table — Resource, Current Projects, Load %, Status.
checklist5.4 Checklists
Menu: Project Management → Checklists / Add New Checklist (admin permission; the routes live under administration.checklists).
Job Management
Menu: Job Management → Job List (assign and manage) and My Job (do the work). This is where the platform's state machine lives.
account_tree6.1 Job status flow
A job moves through exactly these states. Work-upload files live on the NAS; only this flow changes work_jobs.status.
assigned → under_qc is also possible when a manager presses “Submit to QC”.
What happens at each hop — automatically
| Transition | The system does this for you |
|---|---|
| → assigned | NAS source files are pushed into each employee's OneDrive workspace (distributeToEmployees). |
| → under_qc | Deliverables are collected back to the NAS Work Upload folder and the QC reviewer is notified. |
| → completed | completed_at is set and the deliverables become publishable to Box. |
| → rework | Files are pushed back to the assignee's workspace and they are notified as Rework Owner. |
Related statuses: a job assignment (one per employee) runs Assigned → In Progress and completes implicitly when the job completes. The Job Status master under Job Masters only edits display labels — it does not touch this state machine.
post_add6.2 Add Jobs modal
On the Job List, pick a project first — Add Jobs stays disabled until you do. Per row: Job No. (auto), Assign Date*, Job Type*, Assign To*, Checklist (optional template), Priority*, Assign Hours. Use Add Another Job, then Save All Jobs. Jobs are created as assigned, NAS folders are provisioned, and every assignee gets a workspace and a notification.
table_rows6.3 Job List — assign & manage
Working · Submit to QC · Complete · Pending · Internal Allocation · External Allocation.
Project, Completed checkbox, Job Type, Priority, Assign Employee, and Submit to QC: All / Submitted / Not Submitted.
Priority, Job No., Job Type, Assign Date, Assign To, Checklist, Assign Hrs, Spent Hrs, Status, Submit to QC Date, Assign QC, QC Hrs, Complete Date, Action.
| Row action | What it does | Available when |
|---|---|---|
| View | Opens the job details modal. | Always |
| Edit | Job Type, Assign To, Checklist, Priority, Assign Hours. | Always |
| Submit to QC | Sends the job to QC. | Until it has been submitted |
| Assign QC | Picks the QC reviewer and their QC hours. | Always |
| Review files | Opens the job's Work Upload folder on the NAS. | under_qc |
| Approve QC · Return for rework | Approves the deliverables, or sends them back with a reason. | under_qc |
| Mark Complete · Delete | Closes or removes the job. | Permission-gated |
assignment_ind6.4 My Jobs — the employee view
Columns: Job No., Date of Assigned, Job Type, Client Code, Created By, Assigned To, Sub-Job, Project Hours, Hours Spent (+%), Status, Action. Filters: search, Job Type, Status, date range.
The File Workflow, end to end
The core delivery pipeline. The NAS is the master copy; OneDrive is only an employee's working space; and only approved files reach Box, and from there the client.
| # | Step | Where it happens | Who |
|---|---|---|---|
| 1–3 | Job created, folders provisioned, employee assigned | Jobs → Job List / Add Jobs · Project wizard | Manager |
| 4 | NAS → OneDrive, source files copied | Automatic | System |
| 5–6 | Work, upload deliverables, Mark Complete | Jobs → My Jobs | Employee |
| 7 | OneDrive → NAS, deliverables to Work Upload | Automatic | System |
| 8–10 | Review, approve or return for rework | Jobs → Job List · Files → NAS | QA/QC Manager |
| 11–12 | Publish approved files to Box, generate the share link | Document Control → Publish to Box | Manager QC |
| 13–14 | Record the client submission, close the job, write the audit entry | Files → Box Deliverables · Document Control → Submission Tracking | Manager |
Every job gets its own folder:
{clientCode}/
└── JOB-XXXXX/
├── Source/
├── Work Upload/
├── Project Complete/
└── Test/
A file already transferred is never copied twice (the idempotent job_file_transfers ledger). Failed transfers retry automatically, and a sweep picks up stragglers roughly every 15 minutes. A short delay after Mark Complete is normal.
Gatepass
Menu: Gatepass → Gatepass List, Add Gatepass. Visitor control, with the gate kept in the loop by email.
Visitor or staff name, contact, purpose of visit, vehicle number and type if any, in and out times, and the staff member being visited.
A searchable, filterable table of every pass, with edit and delete on existing entries.
On creation the main gate receives an email with the visit details — no manual hand-off needed.
Timesheets
Hours are logged daily and approved monthly. Entries save live as you type — the Submit for Approval button is what starts the review.
edit_calendar9.1 Daily entry
Reach it from the dashboard Quick Action Timesheet or the daily timesheet page.
approval9.2 Approval flow
The approver — Manager or Team Lead — opens the timesheets approval view and presses Review on a row to see the period, total hours, the entry list, and an OT Flagged badge whenever overtime is above zero. Approve records the approver and notes; Reject returns it with notes. A rejected timesheet is simply edited and re-submitted by the employee — there is no separate re-open step.
Performance
Menu: Performance → Contributor Performance, Performance Health.
workspace_premium10.1 Contributor Performance
Stat cards: Total Contributors, Avg Output Score, Tasks Completed. Table: Employee, Department, Designation, Output Score, Tasks, Status, Action. View opens the detail modal with Output Score, Tasks Completed, Hours Utilized (x / capacity hrs — %), Completion Rate (completed / assigned) and On-Time Rate (on-time / completed).
Super Admins additionally get Edit (the employee CRUD modal) and Delete.
ecg_heart10.2 Performance Health
Team Health — the share of active employees scoring 70 or more, shown as Stable or Needs attention — plus Avg Output Score, Tasks Completed this month, and On-Time Rate.
Low Output Score · Overdue Tasks · Top Performer · High Workload (above 1.5× the average) · Milestone Achieved. When there is nothing to report: “No health alerts at this time.”
File Management & NAS
Menu: File Management → NAS Storage, Box Deliverables, Submission Register, Employee Documents, Project Documents.
dns11.1 NAS Workspace
The file browser over the NAS (S3 / MinIO). Toggle List or Grid, and switch between the Files and Archived tabs.
| Name | Version | Actions |
|---|---|---|
| GA-PLAN-R3.dwg | Current | preview · download · versions |
| CALC-SHEET.xlsx | v2 | upload revision · copy to… |
Connected NAS card, a lazy-loaded directory tree, Pinned shortcuts (Active Projects, Recently Accessed) and a Storage Space usage bar.
Preview · Download · Rename · Upload revision · Versions · Copy to… · Move to… · Archive · Delete — with Restore waiting in the Archived tab.
Multi-select, then Move · Copy · Archive · Delete · Clear. The Move/Copy modal offers the destination tree with a Root option, and name clashes auto-resolve with a numbered suffix.
Upload revision replaces the file but keeps the previous version in history — notes are required. History shows Version, Author, Date, Notes and a per-row download, with a Current chip.
cloud_upload11.2 Box Deliverables
Steps 12–14 of the file workflow: published deliverables, their client share links, and the submission that closes the job.
Columns: File Name (with its BOX-ID), Version, Status (Final Review), Share Link (Public / Collaborators / Company, plus expiry), Downloads, Delivery, Last Modified, Actions.
Actions: Open in Box · Submit to client (records the delivery and closes the related job) · Link to job… · Version History · Delete — plus Re-publish to regenerate share link when a link is missing. The Submit to Client modal asks for Recipient* and Notes, then confirms: “Deliverable submitted to the client and job closed.”
how_to_reg11.3 Submission Register
Every client submission and its delivery history. Columns: Date, File, Recipient, Status, Submitted By, Notes — filtered by All Statuses / Sent / Reviewed / Approved / Rejected. Status changes are permission-gated to approvers and audit-logged.
folder_shared11.4 Employee Documents
Document Name*, Employee*, File* — PDF, DOC, DOCX, XLS, XLSX, PNG, JPG or JPEG, max 10 MB. Versions are tracked; statuses are Draft / Approved / Superseded.

description11.5 Project Documents
Stat cards: Total Documents, Pending Approval, Completed, Overdue Files. Filters: search, All Projects, status (All / Pending / In Progress / In Review / Delivered / Accepted) and type (Technical / Creative / Legal / Finance). Upload: File*, Document Name*, Project*, Owner*, Type*, Due Date, Description — stored under projects/{clientCode}-{projectCode}/{name}. Row actions: View · Download · Permissions · Delete.
tag11.6 Document Numbering Rules
Menu: Files → Numbering. Define a scheme per department: Department, Prefix (e.g. ENG), Separator (e.g. -) and Next Sequence Number (e.g. 0001) — with a live preview.
Actions: Edit · Generate next number (atomic — it advances the counter) · Pause/Resume · Delete. Stat cards show Total Schemes, Active Schemes and Departments Covered.
Reports & Analytics
Five read-only pages in the sidebar — all searchable, sortable and exportable.
| Report | Sidebar item | What it shows |
|---|---|---|

| Job Timesheet | Reports & Analytics → Job Timesheet | Hours logged against each job |
| Client Timesheet | Reports & Analytics → Client Timesheet | Hours by client |
| Project Summary | Reports & Analytics → Project Summary | Project-level rollups |
| Employee Productivity | Reports & Analytics → Employee Productivity | Output, completion and on-time metrics per employee |
Account Reports
Menu: Account Reports → Client Report, Contributor Report. Billing and finance-oriented rollups for clients and contributors.
Billable rollups by client, ready for invoicing conversations.
Hours and output per contributor over the selected period.
Document Control
Menu: Document Control → Revisions, Version History, Publish to Box, Submission Tracking. This is where a file stops being work-in-progress and becomes something the client can hold you to.
history14.1 Revisions
Tabs: All Revisions / Major Versions / Auto-Saves, with a status filter of Finalized / Draft / Archived / Milestone / Approved. Columns: Version, Document, Contributor, Timestamp, Status, Actions. Actions: View · Select for Compare then Compare with Selected (side-by-side) · Restore · Download. The Storage Health card reports version-history size, total revisions, this month's count and the retention window of 365 days.
manage_history14.2 Version History
Stat cards: Current Version, Total Revisions, Major Milestones, Storage Used. Filter by search, version input, document and status. A restore always shows a From → To confirmation before it commits.
publish14.3 Publish to Box
The Box Integration card on this page shows the connection state, and Publish Summary lists the documents selected with the estimated transfer size. Quick tools: Sync History, Audit Trail, Storage Usage and Schedule Publish.
assignment_turned_in14.4 Submission Tracking
Stat cards: Total Submissions, Pending Review (Sent + Reviewed), Approved, Rejected. Columns: Document (DOC-####), Recipient, Submission Date, Due Date, Status, Actions. Actions: View · Download · Delete — and approvers change the status inline between Sent / Reviewed / Approved / Rejected.
Access Control Super Admin only
Menu: Access Control → Roles, Permissions, Folder Permissions, File Permissions. What you set here is what everyone else can see and touch.
shield15.1 Roles
Role cards show the name, icon, description, group badge, Active/Inactive state and key permissions, each with a Manage Permissions link. Add New Role asks for Role Name, Description, Icon, Icon Style, Group (Management / Standard Access / External Access) and a Status switch, then Create Role.
grid_on15.2 Permissions matrix
A module × action grid — employees.view, jobs.create, files.download and so on. Toggle individual cells or use Enable All / Disable All, then Save Matrix Configuration. Saving syncs the role while preserving permissions outside the catalog, and the change is audit-logged.
folder_managed15.3 Folder & file permissions
Browse the NAS Directory Structure, pick a role, and grant Read / Write / Delete / Full Access. Stats: Active Roles, Restricted Folders, Exposure Risk.
Per role, path and grant, with actions View / Download / Modify / Delete / Share / Manage, a classification of public / internal / confidential / restricted, and an inline preview.
Paths match on the ancestor-or-equal of the requested path — a rule on a parent folder governs everything beneath it.
Audit Logs
Menu: Audit Logs → User Logs, Project Logs, File Logs, Permission Logs, Support Logs. Whatever happened, it happened here too.
Search, event type, period (24 h / 7 d / 30 d), severity (Info Warning Critical) and rows per page.
Timestamp, Event ID (EVT-00001), Target (a file path or user), Actor, Action Details, Source IP, and the eye icon for the detail view.
Captured events include: authentication, user created/updated/deleted, password reset, role assignment, project created/updated/deleted, file published to Box, submission updated, permission changes and ticket actions.

inbox17.3 Ticket Queue & My Tickets
Ticket Queue filters by category, priority, status and assignment (Unassigned / Assigned to Me), with columns Title (#TKT-00001), Category, Context, Status, Priority, Requester, Assigned Agent, Resolution, Last Activity and Actions (Reopen / View). My Tickets shows only your own — click a row for the detail modal. Commit everything with Save Security Policy.
storage18.4 Storage Configuration
System Paths: Document Root (/nas_storage), Log Directory and Archive Policy — archive_30, archive_90, delete_365 or never — which drives the daily archive and delete job. Below it, the Connected Volume card and the Connected Volumes table (Set Active / Deactivate / Delete).
cloud_sync18.5 Box Integration

psychology_altGood habits
Keep the NAS as the master. Never rely on a personal workspace for anything permanent.
Submit timesheets daily. Approvals unlock the monthly picture for managers and HR.
Read the rework reason. On a QC rejection, the notification carries the reason — address it before resubmitting.
Watch Queue Health. Super Admins: slow publishes or transfers usually show up there first.

The Employee does the work. QC or the Manager approves it. The Manager publishes and submits. The Super Admin governs. Everything else in this manual is detail hanging off those four roles — and the NAS holding the master copy underneath all of them.
